Our users are primarily in the US, UK, EU and worldwide, so we comply with applicable laws (e.g. GDPR and CCPA) and clearly disclose our practices
Information We Collect
We collect personal and business information that you provide when you interact with us. This includes:
- Contact & Identity Data: Your name, email address, phone number, company name, and LinkedIn or other professional profile information when you sign up, fill contact forms, or communicate with us.
- Content & Scripts: Any data or website URLs (scripts) you submit for analysis. For example, if you enter your website for AI analysis, we collect the data from your site that you provide (content, scripts, etc.).
- CRM & Survey Data: Information from marketing/CRM forms (collected via HubSpot), such as company details or answers to questionnaires. HubSpot’s tracking may also capture information about how you interact with our marketing emails and website .
- Automatically Collected Data: When you visit our site or use our services, we collect technical data such as your IP address, browser type, device type, and usage statistics (pages viewed, links clicked, time on site, etc.). We use tools like Google Analytics, which stores cookies on your device to track usage data , and HubSpot cookies to analyze trends and how visitors navigate our website .
All of the above categories fall under “personal data” as defined by data protection laws. For example, under the CCPA we would categorize this as identifiers (e.g. name, email), commercial information (e.g. purchase history), and internet/electronic activity information (e.g. browsing data)
How we use your information
We use your personal information to operate and improve our services, including:
- Service Delivery: To provide and personalize our AI-driven lead generation and sales automation services. For example, we use your provided data (contact info, website signals) to identify leads and generate outreach content via AI (using tools like OpenAI or Anthropic). These providers process your data under their own privacy terms, and we handle only the content you submit to generate the outputs.
- Communication: To contact you when you request information or support. If you’ve consented, we may send you marketing materials about our services. You can unsubscribe from any marketing email at any time . All our marketing emails include clear opt-out instructions in compliance with laws (e.g. CAN-SPAM, GDPR, CASL).
- Analytics & Improvement: To analyze site and service usage, improve our website and offerings, and understand our customers better. We use Google Analytics for aggregated usage data (with cookies) and HubSpot analytics to monitor trends. This helps us optimize features and content. (You can opt out of Google Analytics tracking by using Google’s opt-out browser add-on or disable cookies in your browser.)
- Legal Compliance: To comply with legal obligations (e.g. tax, fraud prevention, security). For example, we may use Stripe (our payment processor) to verify transactions and prevent fraud.
Under laws like CCPA and GDPR, we disclose the categories of personal information collected and their sources and uses . This policy, and any notices when data is collected (e.g. forms with disclosures), is intended to keep you fully informed.
Cookies and tracking technologies
We use cookies and similar technologies to make our site work and to gather analytics:
- Essential Cookies: Some cookies are necessary for basic website functions (keeping you logged in, remembering form entries, etc.).
- Analytics Cookies: We use Google Analytics and HubSpot cookies to track how users navigate our site and to improve our services . Google Analytics cookies collect anonymized usage data (it cannot personally identify you to us) and allows us to measure site performance. According to Google’s terms, using Analytics requires that we inform users of cookie use.
- Marketing Cookies: HubSpot may set cookies to know if you’ve opened our marketing emails or visited our pages, helping us tailor our marketing. We do not sell or use any personal data for behavioral advertising beyond these analytic tools.
You can manage cookies via your browser settings (most browsers let you block or delete cookies). For Google Analytics specifically, you may install the Google Analytics Opt-out Browser Add-on, which prevents data about your visits from being sent to Google . We will include an easy cookie consent mechanism so you can agree or refuse non-essential cookies.
Third-party services and data sharing
We work with third-party service providers who process data on our behalf. Key ones include:
- CRM & Marketing: HubSpot – our marketing and CRM platform that collects and stores your contact information (name, email, company) when you submit forms or engage with marketing content . HubSpot may also use cookies to analyze website trends and performance.
- AI & Automation: OpenAI, Anthropic, etc. – AI service providers that process the content you input to generate insights or outreach. (We only send the data you provide; see the providers’ own policies for how they handle that data.) OpenAI’s policy notes that data processed through its API (when we call its services) is covered by our agreement, not by their consumer policy .
- Email Services: We may use email campaign tools (like Mailchimp) to send newsletters or updates. These providers process email addresses and subscription preferences. Each marketing email includes an unsubscribe link; users can opt out at any time .
- Payment Processor: Stripe – We use Stripe to handle payments. Stripe collects your billing information (name, email, billing address, and payment method details) when you make a purchase. Stripe’s Privacy Policy defines this “Transaction Data” and notes it includes your name, email, billing/shipping address, credit/debit card number and bank details . We never see or store your card information.
- Other APIs: We may integrate other tools (e.g., HayReach, ZoomInfo, LinkedIn data tools, “Buy Now” widgets, etc.) to enrich our services. When used, these tools may access relevant user information under strict agreements. For example, if you click a linked service or submit data to a partner site, that third party’s privacy policy governs their processing.
All third-party providers we use are required to implement appropriate security measures and to process data only as instructed by us. We will not share your personal data with other parties for their own marketing without consent. We do not “sell” personal information as defined by CCPA.
International Data Transfers
Because we are a global company, your data may be transferred and stored in countries outside your jurisdiction. For example, our servers or some providers (like Stripe and HubSpot) may reside in the United States. As Stripe notes, “as a global business, it’s sometimes necessary for us to transfer your Personal Data to countries other than your own, including the United States” . In all cases, we take steps to ensure such transfers comply with data protection laws (e.g. using Standard Contractual Clauses or relying on adequacy decisions).
Your account and Choices
We are launching a user account portal where you can manage your settings and data. If you create an account, we will collect a username (often your email) and a password. In your account dashboard, you can:
- Review & Edit: View and update your personal information (contact details, company info, preferences).
- Privacy Settings: Choose your communication preferences (opt in/out of newsletters, product updates, etc.).
- Delete or Export: Delete your account or request a copy of your data. You will have easy options to close your account at any time.
These controls support your rights under privacy laws. For example, GDPR explicitly gives individuals the right to access and withdraw consent for their data processing , and California’s CalOPPA requires that we tell users how to change or delete their data . We meet these requirements by providing account self-service and customer support (you can also email contact@algominds.ai for assistance). All emails we send contain clear instructions on how to opt out of future messages.
Payment and Billing
If you purchase a service or subscription from us, payment is processed by Stripe. During checkout you will enter payment details on Stripe’s secure form. We do not store your payment information on our servers. Stripe handles your credit card or bank data in compliance with PCI-DSS standards. (Stripe is a PCI Level 1 service provider, the highest certification for payment security .) After you click “Purchase,” Stripe securely charges your card. We receive only confirmation of payment success or failure and minimal billing info (e.g. billing name and email) to fulfill your order.
Data Retention and Security
We retain your personal data only as long as needed for the purposes described (such as ongoing service provision, legal compliance, or legitimate business interests). For example, we keep account data until you delete your account or as required by law for taxes/records. We implement industry standard security measures (encryption, access controls, intrusion detection, etc.) to protect your data.
Despite this, no internet service is 100% secure; if a breach affecting your data were to occur, we would notify you as required by law.
Your Rights
Depending on your location, you have the following rights regarding your personal data:
- Access & Portability: You can request a copy of the personal data we hold about you.
- Correction & Deletion: You can correct any errors in your data or ask us to delete it. (California law requires us to explain how to do this .)
- Consent Withdrawal: If our processing is based on your consent (e.g. marketing emails), you can withdraw consent at any time. GDPR explicitly grants the right to withdraw consent and receive access to your data .
- Opt-Out of Sale: We do not sell personal data. If you are a California resident, you have the right to opt out of any future disclosure of your information as a “sale” (though we do not engage in selling).
- Object or Restrict: In certain cases (e.g. legitimate interests), you can ask us to limit processing.
- File a Complaint: If you believe your rights have been violated, you can lodge a complaint with your local regulator (for EU users, a Data Protection Authority; for Californians, the California Attorney General’s office).
